    Google has brought the natural search capabilities of Google Search to Drive, making it easier and more intuitive to find your company files. Google is rolling out Natural Language Processing (NLP) worldwide and immediately so that people can search Drive in the same manner as they search the internet. With over 240 million users of Google Drive (as of 2014), even small changes have a big impact on productivity.

    “Natural Language Processing (NLP) is a fancy way of saying “search like you talk,” said Josh Smith, the Product manager for Google Drive, in a blog announcement. “You can type things like “find my budget spreadsheet from last December” or “show me presentations from Anissa.” Drive will understand what you mean and give you the option to click for those specific search results. Drive NLP will get better with each query — so keep on searching.”

    Google has also added spelling correction to Google Drive searches, also something very familiar in Google search. “When you’re trying to find a doc fast, it’s easy for typos to slip into your search,” Smith says. “Drive now has a new autocorrect feature that suggests corrections to misspelled search terms — which can really help when your brain is moving faster than your fingers.”

    “Who here feels happy?” asked Sir Anthony Seldon, in a Google talk last year. Seldon is the author of the book, Beyond Happiness and Britain’s best-known headmaster. Sir Anthony famously introduced happiness, or well-being, lessons at his school, Wellington College. In 2011, he co-founded Action for Happiness, a body to raise awareness of the discovery of happiness and reduction of depression, whose influence according to many is growing rapidly in Britain and across the world.

    “Who here would like to be happier?” he asks. “Who thinks deep down that other people are responsible for your happiness? Who blames other people for the unhappiness that you feel? Who blames others, in part, for the unhappiness that you feel in your life? And lastly, who believes that we have it in our power to be unbelievably happy?”

    “So the question then is, what is it that is stopping you from being happier,” asks Seldon.

    Sir Anthony Seldon provides an excellent introduction into the concept of happiness and how you have the power to either make yourself happy or unhappy. Business has caught onto this concept as an opportunity to improve productivity and profits. But how do you change an individual employees’ mindset? Here are a few thoughts from some experts.

    Shock: Happiness Impacts Productivity!

    “It’s not so shocking, it turns out that employee happiness impacts productivity in the work setting,” says Corbett Barr, Co-founder and CEO of Portland, Oregon based FizzleCo. “Of course, I know this probably isn’t news to you, but when I’m happy I know it’s really easy to get work done and when I’m bummed out or if something really negative happens it’s hard to find the motivation to do anything worthwhile.”

    “I remember back when I worked in a big company environment, if my boss was a jerk it was really hard to get work done,” Barr added. “Likewise, if the company felt like it was going nowhere or if my results just weren’t being acknowledged, it was really hard to put in that extra effort.”

    “But here’s the thing, this also applies to our work as entrepreneurs,” he said. “If you work for yourself, you’re the boss, so stop being such a jerk. Have fun once in awhile and your productivity will jump.”

    How Do You Find Happiness at Work?

    “It turns out that autonomy is a really big factor, meaning that if you have influence over where, when, and what you’re working on, it’s much easier to be happy and therefore productive in your work,” says Barr. “Of course as an entrepreneur it’s probably easier to have influence over these things then when you’re in a big corporate environments, but you still have to think about it.”

    “The next step is to lower your stress and anxiety in all facets of your life, not just your work life,” explained Barr. “This means eating well, exercising regularly, getting enough sleep, avoiding caffeine and other stimulants, and making sure that you’re letting yourself have fun on a regular basis when building your own business. It’s really easy to feel like you have to be committed to your business 110% of the time, but this can lead to stress and burnout which leads to anxiety and depression which reduces your productivity which then makes you feel more stressed and more burned out. You can see how this cycle can start to spiral.”

    “Take a breath and commit to spending less time on work and more time on staying healthy and having fun,” recommends Barr. “Your work will improve dramatically because of it.

    Happy Employees Increase the Bottom Line

    “I saw this news piece (last year) about happiness in the workplace and about how some companies were embracing these new workshops, teaching employees how to be happy,” noted Stephen Goldberg is the founder and president of Optimus Performance, which offers companies training programs to help motivate and improve the productivity of their employees. “I thought that was really interesting.”

    “One of the company’s was a pharmaceutical Sanofi here in Montreal another one was Kohl’s in the United States,” said Goldberg. “They were saying how the happiness workshops were paying off fantastically in terms of improved productivity and Sanofi said it actually created an increase of about 40 percent in productivity and the bottom line.”

    “So yes, you can provide motivation to people in the form of teaching people how to be more happier and I think that’s a great thing to do,” commented Goldberg. “But I think it’s a responsibility of each person to find their own happiness, because really happiness is an experience, it’s a feeling inside that we have and yes certain things that we do can cause that feeling.”

    “It’s really something independent of everything we do on the outside,” he said. Otherwise, we’re always dependent on doing things or having things that are going to cause certain happiness.”

    Employee Happiness is Contagious

    “Imagine if everybody came with the mindset of appreciation and giving and helping each other in an organization,” exclaimed Goldberg. “That would really sparked teamwork and would also create a better performance, because people would be supporting each other much better.”

    “Of course, the employer has a responsibility when it comes to performance, not just creating a happy workplace, but also providing the tools and the support so that people can do their jobs,” says Goldberg. “Even if they’re motivated for their work, they need those tools, support and direction. They need clarity to know what’s expected of them.”

    Turning Your Brain Happier While You’re At Work

    “We know that in the traditional business world, employees and managers think about happiness as something that you do at home, something that you do on your own time, that work is for work and that doesn’t necessarily make you happy,” says Eric Karpinski, Co-Founder and Director of Strategic Development of Potentia Labs, a neuroscience-based behavior change platform for enterprise talent development. “I want to turn that concept on its head.”

    “I think it’s been turning over the last 10 to 20 years, people know that’s not really the core, but it’s still at the base of a lot of our assumptions around work, that it’s supposed to be something we are constantly focusing on,” he said. Karpinski says that research shows that happiness actually leads to success. “If you can find a way to turn your brain happier while you’re at work, it will give you all kinds of benefits.”

    “You can increase your happiness,” he adds. “A lot of happiness and positive emotions in general are about choice. We can choose to feel happier.” Karpinski believes that by changing your habits you can actually rewire your brain so that you are more likely to “grab onto your happiness and notice the good things.”

    “Happiness is infectious,” he says. “As each of us take on habits and start doing things that are going to help us be a little happier each day, we spread that out to our teams at work, to our families, to our communities and to our friends, and that lets everybody else tap into the benefits of being happier.”

    Relaxation Can Create Your Breakthrough Moments

    “If you look at the data, we get our creative bursts when our brain is in delta wave mode, when we are in a state of daydreaming,” says Emma Seppälä, Science Director of the Center for Compassion and Altruism Research and Education at Stanford University and a leading expert on health psychology, well-being, and resilience. She is also the author of “The Happiness Track.”

    She was recently a guest on the popular Radio Free Leader Podcast hosted by David Burkus, Associate Professor of Management at Oral Roberts University. “That’s why we will get those burst of information right at those seemingly inconvenient times. When our brain is in those very deeply relaxed modes is when we are more likely to have those breakthrough moments.”

    A Real Pain Point

    Seppälä says she wrote the book out of a “real pain point” that she sees with high achievers that were operating on the “misconception that in order to be successful they had to postpone or even sacrifice their happiness,” causing 50% to burnout in the American workforce 70% to “disengage”. “These kind of statistics are shocking to me,” Seppälä said.

    “If you look at the data… if you take care of yourself and the people around you are actually going to be more charismatic and make better decisions, have more emotional intelligence, be more creative, more focused and more productive,” said Seppälä. “There is a better way, you can be happy and get the things done that you need to.”

    Do Drive and Stress Go Together?

    David Burkus pointed wondered if this is “unique to America or if it’s unique across all countries and all cultures to the people who strive to be high achievers?” He said, “It seems like there is a tolerance to the idea that it’s going to be stressful, it’s going to be hard work, we have to stay focused and we have to prioritize that in order to achieve that level of success. In the United States we are the land of the 90 hour workweek. Many people buy into the idea that if you want to be successful you have to drive at all costs.”

    “We know that the US is driven by two things, the product at work ethic, which is this idea that you have to prove your worth in the eyes of God through your life’s work,” said Seppälä. “We’re also influenced very much by the immigrant work culture. The ancestors of this country had to pull themselves up from their boot strap and had to work very hard. Those are two very influential factors that has turned the US into such an industrious and innovative place.”

    Seppälä points out that the problem is that for many Americans life is work and that is burning them out and is making them accomplish less than they would take more care of themselves.

    “I think about my own life and probably yours too, I really love what I do,” says Burkus. “What’s wrong with that? The work that you do actually does engage and energize you but it still makes you at risk for burnout. How do you figure out that right level when you actually enjoy the work?”

    “I see people focused on doing the next disruptive thing, but when they are not stopping and are constantly working they are shooting themselves in the foot,” says Seppälä. “If they were to actually stop and relax they are more likely to find a solution.”

    Being Present is Key to Business Success and Happiness

    Being present is also very important to both happiness and success and as Seppälä notes, it’s a big part of what makes someone charismatic. “We know that individuals that are highly charismatic have this incredible ability to be so present that they can connect with people in powerful ways,” said Seppälä. “Bill Clinton, for example, apparently makes people feel like they are the only people in the room and so he has this incredible charisma. That is the ability to be so incredibly present.”

    Seppälä says that through research we have discovered “that your relationships matter, whether it’s your employees, people at your level or people above you. Those relationships are key and your ability to be fully present will make an incredible impact on your career.”

    “That ability to be present, we know from Happiness research, not only makes you more productive, but you never are happier than when you are present right now, even if you are doing something you don’t want to be doing, said Seppälä. “You are happiest when you mind is with whatever it is you are doing.”

  • Google Extends Google Apps Cost Saving Offer to Medium-Sized Businesses

    In an effort to get more companies on Google Apps, Google announced that it is extending a cost-covering program previously only available to large enterprises to medium-sized businesses.

    Last fall, Google provided its productivity suite for free to companies locked into an Enterprise Agreement, covering these companies’ contract costs until the contracts expired. Those who weren’t under contract could get help in paying for their migrations from other solutions.

    The program is not only being extended to smaller companies, but also until the end of the year.

    “Companies between 250 and 3,000 that currently have an EA with another vendor can qualify for zero-cost Google Apps licenses for the term of their existing EA,” explains Google’s Neil Delaney. “And now, companies with 100 users (previously 250) to as many as 3,000 can qualify for a Deployment Voucher. This greatly expands the number of companies that can take advantage of the Deployment Voucher.”

    “In addition to saving money and improving business productivity, the security benefits of Google Apps are especially valuable to mid-market businesses,” he adds. “For mid-market customers that sign up for this promotion, Google will pay for a Security Workshop, to the value of $750USD, through our trained Partners, to help them maximize the security and data protections Google Apps offers.”

    You can set a goal by answering questions about how often you want to do something and what the best time is. Calendar will then look at your schedule and find windows of time.

    “Goals aren’t easy—especially when the unexpected comes up—but Calendar can help you adjust in a number of important ways. For example, Calendar will automatically reschedule if you add another event that’s a direct conflict with a goal,” says product manager Jyoti Ramnath.

    You can also defer a goal at any time, and Calendar will make time for it later,” Ramnath adds. “Finally, Calendar actually gets better at scheduling the more you use it—just defer, edit or complete your goals like normal, and Calendar will choose even better times in the future.”

    The feature comes as Google celebrates Google Calendar’s tenth birthday.

    Today in “I can’t believe this wasn’t already a thing” news, Google announced the addition of reminders to Google Calendar on the web, making it easier for users to keep track of important (and not so important for that matter) tasks

    On Android and iPhone, reminders that aren’t completed appear at the top of the calendar until they’re marked done. Reminders created in Inbox, Keep, and the Google app also appear in Google Calendar. Now, these things apply to mobile. Also, reminders created in mobile show up on the web and vice versa.

    Again, how wasn’t this already a thing? Either way, better late than never.

    Microsoft announced Office 365 Connectors in limited preview back in the fall, but is now opening the offering up to all customers.

    Connectors are available now, spanning services like MailChimp, Asana, GitHub, Stack Overflow, Aha, Zendesk, Salesforce, Twitter and UserVoice. There are over 50 connectors available now with more to come.

    “Office 365 Groups is a service that enables teams to come together and get work done by establishing a single team identity and a single set of permissions across Office 365 apps,” explains Microsoft in a blog post. “Setting up an Office 365 Group automatically creates a shared inbox, calendar, notebook and files. Now, any Groups member can add Office 365 Connectors for their group’s use, in seconds, to bring filtered information in the shared inbox that is relevant and contextual to the team’s needs and interests. For example, a product lead using the UserVoice connector can help her entire team track the latest feedback on a new product launched in market.”

    “Each time a key activity takes place in the service you’re tracking—for example, when a new task is added to a Salesforce opportunity, an update is made to a Trello board or an incident is triggered in PagerDuty—a message is sent to the Groups shared inbox,” it adds. “You can then choose to share and discuss on the message with your team or take action with a few simple clicks.”

    The company says it will bring Connectors to Outlook inbox for individual users in the future.

    Google Drive for Android Gains 2 New Helpful Features

    Google announced a new update for its Google Drive Android app, which should help users in the organization and productivity departments.

    There are two new feature: reverse sort and the ability to instantly edit with apps.

    “We’ve heard feedback that you want more flexibility in how files are sorted,” Google says. “We’re adding the popular request to allow reverse sorting. Simply tap the sort column at the top of Drive to swap the sort order.

    “If you have an editor app installed on your device, you can now jump into the editor directly from the file preview in Google Drive,” the company explains. “This is great if you want to make changes on the fly and have those changes saved back to Google Drive. Some common editor apps include Google Photos, Google Docs, and more.”

    The update is launching on both the rapid and scheduled releases with all end users getting access. The full roll-out should take one to three days.

    This is just the latest in a series of improvements Google has made to Google Drive and associated apps since the new year. Other recent improvements include:

  • Microsoft Launches OneNote Importer Tool To Help You Switch From Evernote

    Microsoft announced a new tool to make it easy for Evernote users to import their notes into OneNote. Aptly named the OneNote Importer tool, it migrates all of your Evernote content into OneNote.

    “OneNote has become one of the most popular note-taking apps as a result of hard work we’ve done to deliver a superior experience across all platforms, including Mac (4+ rating in Mac App Store), Android (4.0 rating), Windows (4.3 rating) and iOS (4.5 rating),” says Vijay Sharma, senior product manager for the OneNote team. “We even hear from Evernote fans who acknowledge OneNote’s appeal but are hesitant to make the switch due to the fact that all their ideas and information reside in Evernote.”

    “OneNote and Evernote are similar in many ways, but we think you’ll appreciate the advantages OneNote has to offer, including a free-form canvas where you can mix text, images, documents, handwriting, audio, video and more; free offline access; and unlimited monthly uploads,” Sharma adds.

    The tool is initially only available for Windows, but Microsoft says a Mac version will be offered in the coming months.

    Google launched a new outline tool in Google Docs on the web and Android.

    As a spokesperson for Google tells us in an email, “Displayed in a pane to the left of the page, the outline features headers for each section of your document, making it simple to quickly jump from section to section. If you haven’t manually applied headers, no worries—we’ll do it for you, intelligently detecting the logical divisions within your work. You can then edit or remove these headers as necessary.”

    “This launch will also allow you to move through documents on your Android phone or tablet at super speeds,” the spokesperson says. “When you begin scrolling on your mobile device, a small navigation handle will automatically appear. Touching that handle will display the entire document’s structure, allowing you quickly skip from section to section, instead of slowly swiping up and down.”

    In other Google Docs news, Google has also made it easier to view documents in most e-readers.

    Google said on its APps Updates site that it has launched the ability to export Google Docs files as EPUB publications. Do do so, just go to the file menu, select “Download As” and select EPUB Publication (.epub).

  • Your Employees Now Have a Helpful Google Apps User Hub

    Google announced an update to Google Apps that enables employees to view and access their apps from a new user hub. This provides them with an easy way to see what they are able to use while giving them a simple interface to use the apps from.

    “With this launch, an employee can quickly and easily see a list of the Google and third-party apps they have access to, like Gmail, Drive, SurveyMonkey, and more, at apps.google.com/user/hub,” Google says. “This page features links to all the apps currently turned on for that user, as well as a section dedicated to those apps that have been whitelisted by their admin but not yet installed.”

    “This should encourage employees to use their enabled apps more often and to finally check out those apps they haven’t yet tried (especially the mobile versions, which will be easier to access),” it adds. “New users will also be directed to apps.google.com/user/hub during the onboarding process.”

    Users have to be signed into their Apps for Work account to access the hub.

    In semi-related news, Google just added some new templates for Docs, Sheets, and Slides, including some that are business-specific.

    Slack Gets Voice Calling on Desktop

    Fellow team members can now talk to each other using their voices in Slack on the desktop.

    TechCrunch reported on Tuesday that Slack would roll this feature out soon after attending a conference in San Francisco. Josh Constine wrote:

    Slack VP of Product April Underwood tells me that voice chat on desktop will come first, and then the company will focus on making it work on all its devices and apps. Video will have to wait until after that. Underwood noted that you can already make voice calls via Skype’s Slack integration. But with its own feature, she says the use case will be “If I’m DMing someone in Slack and we want to switch to have a quick voice conversation, it addresses that problem.”

    Now, while Slack doesn’t appear to have made an official announcement via its own media channels, the publication is reporting that Slack is already rolling voice calls out to desktop users.

    It’s possible that Slack is waiting until the feature is fully rolled out to make the proper announcement. Constine says it’s only available to less than half of users so far.

    Either way, it appears that you’ll soon be able to exchange vocal words with your colleagues very soon as Slack aims to keep you from having to use Skype, Google Hangouts, and the like.

    In September, Google announced a bunch of new templates for Docs, Slides, and Sheets. In December, these became available on Android and iOS.

    Building on these offerings, the company just announced even more templates, and some of them are specifically geared toward businesses. The new templates are designed by experts in their fields. This includes Intuit, GV, and Made to Stick authors Chip and Dan Heath.

    Intuit’s QuickBooks contributed a new annual business budget template in Sheets to make it easier to manage budgets.

    “GV provides venture capital funding to bold new companies,” says product manager Brian LeVee. “In the fields of life science, healthcare, artificial intelligence, robotics, transportation, cyber security and agriculture, GV’s companies aim to improve lives and change industries.The new GV pitch template in Slides helps entrepreneurs share their vision, based on proven presentation tactics.”

    “And, in the bestselling book, Made to Stick, brothers Chip and Dan Heath revealed that ‘sticky’ messages of all kinds draw their power from the same main traits,” LeVee adds. “In their big idea template in Slides, they use these principles to help you build and deliver your most memorable presentation yet.”

    On the educational side of things, there’s a new Reading Rainbow-designed lesson plan and book report template in Docs and a Google Science Fair-designed Slides template for science projects.

  • Google Docs Now Lets You Be More Productive With Just Your Voice

    Google announced some enhancements to Google Docs that should enable yo to be more productive with your voice.

    While Voice Typing has been available since last fall, you can also now edit and format your documents using just your voice.

    Check it out:

    To utilize the feature, select “voice typing” in the “Tools” menu. You can say things like “copy,” “insert table,” and “highlight” to give commands. The whole list of commands is here. It’s pretty extensive.

    You can say “voice commands help” with your voice to bring up the list when you need it. Google says in a blog post:

    As an added bonus, we’re also making it possible to dictate in Docs on the web in dozens of additional dialects and accents, including English with an Indian accent, Spanish with a Mexican accent, and more so you can talk in the most natural way for you.

    You shouldn’t have to use additional complex software to accomplish everyday tasks with voice typing. You can already use your voice to take action in Google search and find content in your inbox or Drive folders. Now you can use it to capture, edit and format your ideas in Docs.

    The functionality is now available to users including in Google Apps for Work.

    Microsoft Unveils Updated Profile Experience For Delve in Office 365

    Microsoft announced an update to Office 365’s people profile experience in Delve. According to the company, the update makes it easier to discover relevant content, connect with colleagues, and find experts within a user’s organization.

    “Delve is more useful and intuitive than ever thanks to the new profile page,” a representative for Microsoft said in an email.

    Included are consolidated profile and activity pages, which enable users to learn more about their colleagues (i.e. summary of expertise, etc.), start a Skype chat, call, and email a colleague from their profile page.

    There are also new customization options that let users add favorite profile pictures and unique backgrounds and edit their expertise.

    Finally, the update lets users locate documents more quickly from the profile page and see documents that other users are working on (based on permissions).

    The new experience will roll out to First Release tenants over the coming weeks and to all eligible Office 365 customers by Q2. More info here.

    Microsoft announced that it has entered into an agreement to acquire software keyboard company SwiftKey.

    “In this cloud-first, mobile-first world, SwiftKey’s technology aligns with our vision for more personal computing experiences that anticipate our needs versus responding to our commands, and directly supports our ambition to reinvent productivity by leveraging the intelligent cloud,” says Harry Shum, Executive Vice President, Technology and Research at Microsoft. “SwiftKey estimates that its users have saved nearly 10 trillion keystrokes, across 100 languages, saving more than 100,000 years in combined typing time. Those are impressive results for an app that launched initially on Android in 2010 and arrived on iOS less than two years ago.”

    “This acquisition is a great example of Microsoft’s commitment to bringing its software and services to all platforms,” he says. “We’ll continue to develop SwiftKey’s market-leading keyboard apps for Android and iOS as well as explore scenarios for the integration of the core technology across the breadth of our product and services portfolio.
